Run a downsize as one system with four trackers: a keep/sell/donate/toss log, a measure-and-fit sheet, a moving-week and box log, and an open-decisions list with owners and dates. Sort storage first, measure before you commit to keeping bulky pieces, and clear the decisions list every work session so nothing stalls silently.

Downsizing fails in the gaps: you sort a closet, then lose track of what sold; you measure a sofa, then forget the stair turn; you book movers while "Ask Mom about the china" sits in a text thread forever. One system with four light trackers keeps the job moving without turning it into project-management theater.
This guide shows how the four trackers work together. For the sorting method itself, see how to downsize: keep, sell, donate, toss. For the move that often follows, see packing room by room, will my furniture fit?, and how to plan a move week by week.
You can use a notebook, a whiteboard, or one spreadsheet file with four tabs. What matters is that every item and decision has a home:
Update them in the same sitting when you can. A decision that leaves the room should land in one of the four places before you stop for the day.
Columns that usually work:
| Date | Room | Item | Decision | Exit plan | Done? |
|---|---|---|---|---|---|
Work storage and duplicates first; save sentimental items for later. At the end of each session, get donate/toss/sell piles out of the room.
Before anyone falls in love with keeping a bulky piece:
| Piece | W × D × H | Path notes (door, stair, elevator) | Fits? | Keep or replace? |
|---|---|---|---|---|
Measure the furniture and every doorway, hallway turn, stair landing, and elevator on the path, plus the destination room. For sofas, diagonal depth often matters. Details and a simple sketch method are in will my furniture fit?.
Link this tab back to the sort log: a "keep" that fails the path test becomes sell/donate before packing day.
Once the household is shrinking, the move needs its own countdown:
You don't need a perfect inventory — you need enough that movers (or future you) can find the kettle and the bed sheets. See packing for a move and box labeling. If you mention mail forwarding, file USPS change of address with the usual 7–10 business day buffer after approval (USPS).
This is the tab that prevents silent stalls:
| Question | Who decides | By when | Notes | Closed? |
|---|---|---|---|---|
Examples: who wants the dining table; whether the piano moves; which charity picks up on Saturday; whether the adult children fly in for a sorting weekend; what happens to photos and papers.
Review this list at the start of every work session. Anything past its "by when" date gets a phone call or a default decision you've already agreed on (for example: "unclaimed Ask items go to donate on the 15th").
If you're helping a parent, they hold the keep/sell decisions; you hold the exits, pickups, and the open-decisions deadlines. For dividing things among relatives after a death or during an estate clean-out, see dividing family belongings.
